Systems and Technology
Lyons, Doughty & Veldhuis utilizes state of the art Collection Partner software from Hubbard Systems to expedite service to our clients. We have developed our practice around this “real time” information retrieval and reporting system. The system was designed to provide detailed file history, automated document production, thorough accounting capabilities and extensive calendaring features resulting in the most efficient handling of our clients' files.
All matters are maintained on the Collection Partner system and each file is constantly updated so that all members of the firm have access to accurate, up to the minute information. Additionally, at least two people are always knowledgeable about the facts of the case. The extensive on line history allows for prompt responses to client
inquiries without the need for the physical file. Advanced calendaring features allow multiple firm members to track numerous follow up dates and deadlines simultaneously.
Another key element of the system is the integration of data and word processing which allows for the merging of detailed information from individual files with form documents which allows us to produce most documents with only a few keystrokes.
We offer our clients a variety of ways to forward and access files. In addition to the standard method of physically forwarding the necessary information, clients may also place files utilizing an Excel spreadsheet or directly by setting up an electronic data interface utilizing a dial-up or internet connection. Similarly, we can set up clients with internet access to our system so they can obtain file status information on their matters 24 hours a day, 7 days per week.
The firm maintains a dedicated T1 line for internet access. This provides all attorneys, paralegals and collection staff with very fast 24/7 internet access. This is critical given the ever increasing use of internet email, online services such as court docket and efiling systems, online bankruptcy trustee databases, address and telephone number lookup sites, public record database services, and access to client websites.
The collection department also utilizes a state of the art predictive dialing system from Predictability Plus to maximize our efficiency while calling debtors.
We also have the ability to handle claims throughout the country through a network of attorneys who utilize the Partner to Partner software. In this way, we electronically place files with local attorneys and our system is automatically updated electronically on a daily basis as the files are worked.
As you can see, we try to utilize the best in available systems and technology to do the job in the most effective and efficient manner. As part of our ongoing efforts, we are constantly evaluating and implementing new tools and methods that enable us to do things better and faster.
